Why Ausländerbehörde asks for additional residence permit documents

Even a carefully prepared residence permit application package in Germany may come back with a letter asking for Nachreichung — a request to submit additional documents. This does not always mean a refusal. More often, the authority lacks proof for a specific requirement: address, insurance, income, recognition of qualifications, family status, or the validity of documents.
The main mistake is to treat the published checklist as a universal guarantee. In Germany, requirements depend on the type of Aufenthaltstitel, the federal state, the city, the applicant’s personal situation, and what information the authority already has.
Why a complete list is sometimes not enough
A public checklist usually describes the basic minimum. When reviewing an application, the Ausländerbehörde looks not only at whether the files are there, but also at their content:
- whether the name, date of birth, and address match across all documents;
- whether the documents are valid on the day of submission and throughout the review period;
- whether the documents prove the purpose of stay;
- whether there is enough income and living space for the specific family;
- whether the health insurance matches the residence permit type;
- whether the diploma or profession is recognized, if required;
- whether there are contradictions between the application, contract, registration, and bank statements.
So a document may be “correct” in form, but still insufficient for a decision on the case.
Address and housing: a Mietvertrag is often not enough
For many applications, the authority wants proof not only of the rental agreement, but also of actual residence. Depending on the city and the residence permit type, the following may be required:
- Meldebestätigung or Anmeldebestätigung;
- Mietvertrag;
- Wohnungsgeberbestätigung from the landlord;
- proof of Warmmiete and current payments;
- information about the size of the dwelling, especially for family reunification;
- documents for owner-occupied housing, if the apartment or house belongs to the applicant.
Problems arise when the contract has no signature, contains an old address, the surname does not match, the contract is in another person’s name, or the housing appears insufficient for the size of the family. If you live with a partner, relatives, or in a WG, check in advance which additional proofs your local authority requires.
Health insurance: the card does not always settle the issue
Having a Krankenkasse card by itself does not always satisfy the requirement. The authority may need a current proof of insurance. For gesetzliche Krankenversicherung, the card or a certificate from the Krankenkasse is often enough, but the exact list depends on the service. For private Krankenversicherung, a separate certificate confirming coverage and cost is often required.
Insurance is checked especially carefully for students, freelancers, workers on probation, applicants with private insurance, and family members. Foreign travel insurance usually does not replace full health coverage for a long-term residence permit.
Income and financial sufficiency
The income requirement depends on the basis of stay. For employment, the authority looks at the work contract, salary, and employment conditions. For family reunification, it looks at whether the whole family is financially secure. For studies, it requires proof of living funds. For self-employment, it checks the viability of the project and the financial documents.
Common reasons for Nachreichung:
- an employer certificate without a date, signature, or current position;
- payslips for the wrong period;
- bank statements that do not show regular incoming payments;
- income arriving in a foreign account that is hard to match to the application;
- a freelancer has no Steuerbescheid, BWA, Einnahmenüberschussrechnung, or other clear proof;
- the family’s expense structure has changed: rent, children, maintenance payments, loans.
If your income is non-standard, it is better to prepare an explanation of how the money comes in and provide documents that are easy to verify.
Work, education, and recognition of qualifications
For work-related residence permits, the Blue Card, and some other grounds, not only the job matters, but also whether the qualifications match. The authority may check:
- whether the foreign university or degree is recognized through anabin;
- whether a Zeugnisbewertung from ZAB is needed;
- whether the position matches the qualification;
- whether a Berufsausübungserlaubnis is required for a regulated profession;
- whether the employer has completed the Erklärung zum Beschäftigungsverhältnis.
If the university or degree is not listed in anabin with the required status, a simple diploma translation may not be enough. For regulated professions, such as medicine or some teaching fields, separate permits and recognition of professional qualifications may be required.
Family documents: legalization and matching data matter
For family reunification, spousal residence permits, and children’s documents, the authority looks very closely at the origin and consistency of civil status records.
Common problems include:
- a marriage certificate without an apostille or legalization, if these are required for the country of issue;
- a translation not made by a sworn or otherwise recognized translator;
- different spellings of the first or last name in the passport, certificate, and translation;
- a change of surname without supporting documents;
- divorce, a previous marriage, or child custody without the full set of decisions;
- old-format documents that the authority asks to replace with a recent extract.
If your background includes marriages, divorces, surname changes, or different transliterations, prepare a chain of documents that explains each change.
Regional differences and the human factor
The Ausländerbehörde works under federal law, but procedures, online forms, and checklists differ from city to city. One city asks you to upload documents to an online portal in advance, another wants originals at the appointment, and a third separately checks living space or how recent the employer certificate is.
This does not mean that the clerk is “making up rules.” More often, the authority is clarifying a fact without which it cannot make a decision. But the wording in official letters is often brief, so the applicant has to work out for themselves which specific risk must be addressed.
How to reduce the risk of Nachreichung
Before submitting, check your package for substance, not only file names:
- Open the current page for the exact service in your city and for your residence permit type.
- Compare the name, date of birth, address, and passport number across all documents.
- Prepare up-to-date proofs of address, income, and insurance.
- For private insurance, ask the insurer for a certificate specifically intended for the Ausländerbehörde.
- For a foreign degree, check anabin or whether a Zeugnisbewertung is required.
- For family applications, collect documents about marriage, children, divorce, and surname changes into one logical chain.
- Keep the PDF confirmation of the online submission and the authority’s letters.
- If the authority asks for Nachreichung, answer point by point and do not send an extra chaotic archive.
What to do if you receive a request for additional documents
First, separate three situations:
- the authority is asking for an ordinary clarification;
- the authority points out a missing mandatory document;
- the authority doubts whether a residence permit requirement is actually met.
In your response, it is best to include a short cover letter: case number, list of attachments, and an explanation of which document addresses which point in the request. If a document cannot be obtained quickly, say so and attach proof that it has been requested. If there is a risk of refusal, a complicated family history, disputed income, or problems with recognition of qualifications, it is better to seek advice from a migration law specialist.
